Report of the Fourth Meeting of the Gilbert 125 Group

7 p.m. Wednesday, July 16, at the Gilbert City Hall on Main Street

The G125 Group held its fourth meeting at 7:00 pm on Wednesday, April 16, at Gilbert's city hall. The people present included: Mary Dodds, Margo Enness, Helen Gunderson, Kurt Jensen, Danielle Kroehling, Joy Leister, Gwen Thompson, and Cindy Wirth.

All-class Reunion Update
Representatives of the Gilbert High School all-class reunion committee were asked if there were any updates to their plans. They said that essentially nothing had changed regarding their plans to have a banquet at the Starlite on the evening of July 31, 2004, but that they were waiting for assurance regarding the city's role in Gilbert's 125th celebration and that the event would actually be a reality.

Archeological Digs and Cemetery Walks
The highlight of the meeting was a discussion with Nancy Peterson, who advises a history club in the Gilbert schools. During the next year, her students plan to conduct archeological digs at two abandoned pioneer towns in the area, Zenorville and Bloomington. During the celebration on July 31, 2004, the students will give tours to the digs and present cemetery walks where actors dressed in period costume portray historical people buried at nearby cemetery monuments. Nancy asked the group to help her get the word out about these history projects and welcomes any help from people knowledgeable about history or drama. Before Nancy left the meeting, the G125 members suggested that she check in with Superintendent Doug Williams regarding the status of insurance coverage for the kinds of activities she planned to conduct for Gilbert's quasquicentennial.

Homework
In April, each of the members of the G125 Group had volunteered to be a liaison to one or more Gilbert area organizations. Other people in our group had agreed to make contact regarding various activities. At our July 16 meeting, we went through the list of assignments and heard reports. We will continue to do homework and report additional progress at future meetings.

Lions Club Corn and Burger or Bologna Feed
The group discussed an email note from Al Cox, president of the Gilbert Lions Club. He said that in the past, the Lions have served a pancake breakfast on the morning of the all-class reunion. For the G125 event, however, he offered that his group would be willing to serve a mid-day lunch on Saturday. He anticipates it will be a corn and burger or bologna feed. He also says it will be one of the activities of the Gilbert Lions to honor their 50-year anniversary in March 2005. The G125 Group was excited about the Lions Club offer and expects the meal to be one of the main events of the G125 festivities.

Insurance
The G125 Group looked at two letters regarding insurance for the celebration. One was from Brian Anderson, president of Knapp-Tedesco Insurance, who is the agent for Employers Mutual Insurance Company out of Des Moines. EMIC is the insurance provider for the city of Gilbert. Brian says:

Employers Mutual Insurance Company will extend the Liability from the City of Gilbert's Insurance policy to cover the G 125 organization if they are an arm and controlled by the City Council. This can be done at an additional charge of $100 per year. Secondly if the City of Gilbert chooses not to endorse and be in control of the G125 Committee, then the G125 Committee would have to purchase a separate Liability policy for their organization.

The other letter was from an agent at Gateway Insurance who estimated that separate, special events coverage for the G125 celebration would cost around $700-$800.

Working Relationship with the City of Gilbert
Cindy Wirth and Helen Gunderson reported on the discussion at the city council meeting on July 14 about establishing a working relationship with the G125 Group. Helen also reviewed earlier city council discussions about working with the G125 Group. Transcripts of those discussions have been posted on the Gilbert Gazette web site.

Cindy and Helen conveyed that the council would like the G125 Group to become a more formally organized group with officers. The council would also like the G125 Group to develop a specific list of goals and requests to bring back to the city before the council could make a commitment to support or work with the G125 Group. Helen also reported that Gilbert leaders have given no indication of following through on their consensus at their April 7 council meeting to get advice from the city attorney about what kind of working relationship the city could have with the G125 Group.

G125 Organizational Structure, Leadership, Process, and Goals
The G125 Group discussed its organizational structure and leadership needs in light of the city's request. The group wanted to do more homework and further discuss these issues at an upcoming meeting.

The G15 Group also reviewed an outline that describes the process that G125 Group is involved in to plan Gilbert's anniversary celebration. And the group looked at preliminary wording that listed the goals of the group. Danielle Kroehling, who is a G125 member with a background in advertising, agreed to take the materials and shape them into a mission statement and other items that could be used in a flyer or other formats to promote the work of the group.

Next Meeting
The group decided to have its next meeting at 7:00 pm on Tuesday, September 23, 2003, at Gilbert's city hall. Interested persons are welcome to join us.
